Privacy Policy

The short version — what matters most:

Seren does not store personal information about your couples. Not their names, emails, phone numbers, or message content.
Your couples' data stays in your email system. We never pull it into our database.
We store outcome metadata only: timing, lead status, budget tier, style category, and guest count tier.
This is not a design compromise. It is the core architecture of Seren.

1. Who We Are

Seren is operated by Cass Bowes as a sole proprietorship registered in Alberta, Canada. We provide an AI-powered inquiry management platform for wedding and event photographers.

We are subject to the Personal Information Protection and Electronic Documents Act (PIPEDA), Canada's federal private-sector privacy law.

2. Information We Collect About Photographers

When you sign up for and use Seren, we collect the following information about you as the Photographer:

3. What Seren Stores About Leads — Outcome Metadata Only

When Seren processes an inquiry on your behalf, it extracts a narrow set of outcome signals and stores them in our database. No couple personal information is included.

Seren processes each couple's inquiry message temporarily to generate a reply and extract the qualification signals listed above. The message content is not retained after this processing step. Your couples' personal data — their names, email addresses, and conversations — remains in your email system at all times.

If you asked Seren "what personal information do you have about my couples," the accurate answer would be: none.

4. How We Use Information

To provide, operate, and improve the Service
To send hot-lead SMS notifications to you
To generate your weekly digest email
To process billing through Stripe
To communicate with you about your account, changes to the Service, or your free trial
To comply with legal obligations

We do not use your information or your leads' outcome data to train AI models, sell advertising, or share with third parties for their own marketing purposes.

5. Third-Party Services

Seren uses the following third-party services to operate. Each has its own privacy policy:

Anthropic (Claude API) — generates inquiry replies. Anthropic processes message content only as needed to generate a response; we do not share data with Anthropic beyond what is required for this function.
Twilio — sends SMS hot-lead notifications to you (not to couples, unless you are on the Pro plan's day-3 SMS follow-up)
Stripe — processes subscription payments. We never see or store your full card number.
Supabase — hosts our database on infrastructure in Canada or the US (AWS)
Vercel — hosts this website

6. Data Retention

We retain your account and configuration data for as long as your account is active. If you cancel, we retain your data for 90 days to allow for reactivation, then delete it unless required by law to retain it longer.

Lead metadata records are retained for 24 months to support your booking analytics history.

7. Your PIPEDA Rights

Under PIPEDA, you have the right to:

Access the personal information we hold about you
Correct inaccurate information
Withdraw consent for collection and use (subject to legal or contractual obligations)
Know to whom your personal information may be disclosed
File a complaint with the Office of the Privacy Commissioner of Canada (priv.gc.ca) if you believe your privacy rights have been violated

8. Security

We take reasonable technical and organizational measures to protect your information, including:

SMTP credentials stored with encryption
Database credentials and API keys stored with restricted access (not hardcoded)
Row-level security (RLS) on all database tables — photographers can only access their own records
HTTPS for all data transmission

No system is perfectly secure. If you believe your account has been compromised, contact us immediately.

9. Cookies and Website Analytics

This website (getseren.ca) does not use cookies for tracking or advertising. We do not use Google Analytics or similar tracking services. Any analytics are aggregate and anonymous.

10. Children's Privacy

Seren is a business-to-business service intended for professional photographers. We do not knowingly collect information from individuals under the age of 18.

11. Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will notify active subscribers by email at least 14 days before the changes take effect. The "Effective date" at the top of this page reflects when the current version took effect.
